The total cost of time tracking includes the subscription, rollout work, ongoing review time and any limits that affect your workflow. Comparing only the advertised per-employee price can miss the cost of correcting unreliable records or maintaining a process nobody understands.

Use this worksheet to compare vendors on the same assumptions. All arithmetic below is illustrative. StafflyTracker prices are linked to the current [pricing page](https://stafflytracker.com/pricing/); verify taxes, billing terms and your final quote before purchasing.

## Define the billable population

Count the people who need recording, then check the vendor's definition of a billable seat. Do managers, inactive accounts or seasonal employees count? Is there a minimum? Do not assume every vendor uses the same rule.

StafflyTracker's published standard pricing is $4 per tracked employee per month or $36 per tracked employee billed annually, equivalent to $3 per month, with a minimum of 10 tracked employees. The annual equivalent is not a promise of monthly payment at the annual rate.

For a 25-employee example, monthly subscription arithmetic is 25 × $4 = $100 per month. Annual arithmetic is 25 × $36 = $900 billed for the year. That is $300 less than twelve $100 monthly periods, before taxes or any quote-specific items. The lower total must be weighed against the longer commitment.

## Separate recurring and one-time costs

| Cost | How to estimate it | Common mistake |
| --- | --- | --- |
| Subscription | Billable seats × agreed rate | Ignoring minimum seats or annual billing |
| Setup | Administrator hours × internal hourly cost | Treating staff time as free |
| Review | Weekly review hours × weeks | Buying data without budgeting interpretation |
| Training | Participants × session time | Assuming everyone understands the reports |
| Storage or plan limits | Required policy versus included allowance | Assuming unlimited screenshots |
| Exceptions | Support and correction effort | Comparing only clean demonstration days |

These are planning categories, not additional StafflyTracker fees. Some are internal company costs. Keep them separate from the vendor invoice so the comparison remains understandable.

A practical sequence for this workflow. Each step is explained in the guide.

## Add a realistic review allowance

Suppose a manager spends 30 minutes each week reviewing exceptions. At an illustrative internal cost of $20 per hour, four weeks of review cost $40 in staff time. This does not mean the product charges $40; it means the company allocates time to make the records useful.

If another workflow takes two hours weekly to reconcile, the difference may matter more than a small seat-price saving. Measure this during a pilot instead of assuming a cheaper plan will necessarily have a lower operating cost.

Use the [weekly review guide](https://stafflytracker.com/blog/weekly-workforce-review/) to define a repeatable process that can be timed and evaluated.

## Match storage assumptions to the real workday

Capture frequency, retained days, monitor behavior and image size influence screenshot volume. Standard StafflyTracker plans have limits; check the current published interval, retention and capacity terms rather than multiplying an unlimited-storage assumption.

A team working with detailed multi-monitor screens may produce different volume from a single-screen administrative team. The [storage worksheet](https://stafflytracker.com/blog/multi-monitor-screenshot-storage/) shows how to estimate this using measured sample size.

Do not increase image collection merely because capacity is available. The review purpose and information sensitivity should guide the policy as well as the cost.

## Compare the same features and conditions

For Time Doctor or another competitor, consult its current official [pricing](https://www.timedoctor.com/pricing) and [feature descriptions](https://www.timedoctor.com/features). Record the plan, billing period and date checked. A feature shown in a marketing overview may not be included in every plan.

Compare operating systems, attendance workflow, exports, access boundaries, support and retention. If a required capability is absent, a lower price does not make the products equivalent. Mark unverified items as unverified rather than filling a comparison table with confident guesses.

## Build a decision that survives the first invoice

Keep three totals: first-period cash payment, recurring subscription and estimated internal operating effort. Ask what happens when headcount changes and how cancellation, renewal and data export work under the agreed terms.

Before approval, attach a pilot result and a list of unresolved requirements. This prevents a pricing discussion from hiding an important workflow mismatch.

## Common questions

Is the annual equivalent the amount charged each month?

No. An annual price expressed as a monthly equivalent describes the yearly total divided by twelve. Check the billing commitment.

Should we choose the lowest seat price?

Only after confirming the required workflows and limits. Compare total cost with a consistent test, not price alone.
