# Run a Useful Weekly Workforce Review

Choose one reporting period and state its timezone. For overnight teams, make clear which workday contains a shift crossing midnight. Mixing a calendar-day screenshot view with a shift-based attendance total can make a normal day look inconsistent.

Include attendance exceptions, approved leave, unresolved corrections and significant coverage gaps. Add workload outcomes from the system that actually records them: resolved support cases, reviewed billing batches or completed campaign deliverables. Tracking data provides context; it does not replace those outcomes.

Keep the pack proportionate. A long export of every activity event makes it harder to notice the few questions that need action. Agree on who can access the records before sharing them outside the application.

## Check quality before percentages

Look for missing tracker intervals, mismatched dates, unexpected duplicate sessions and incomplete application categories. A report can display an exact percentage even when the underlying evidence is incomplete. Precision in presentation does not establish accuracy.

If an employee's score changes sharply, first ask whether the role, rules, device or tracker version changed. Then inspect the relevant period. Avoid comparing people who perform different work or have different coverage as though the numbers share the same denominator.

## Discuss an exception, not a character judgment

A useful question is: “There is a 35-minute monitoring gap after the restart on Tuesday. Was that the training session or a connection problem?” An unhelpful conclusion is: “Your score proves you were not working.”

For a fictional example, a support specialist has less input activity during a week with longer customer calls. Completed cases and call notes may explain the change. A billing employee with repeated service outages may need a technical fix. These situations require different responses even if the displayed percentages look similar.

Give employees an opportunity to add context and correct factual errors. Preserve a clear distinction between an observed record, an explanation and a management decision.

## Keep a decision log

Write down the issue, the evidence period, the action, the responsible person and when it will be checked. “Review the new application category with marketing by Thursday” is actionable. “Improve productivity” does not specify what should change or why.

## Review whether the review helps

After several weeks, ask which decisions the process actually improved. Did it reduce unresolved attendance exceptions? Did it reveal an unreliable device or an unrealistic workload? Did managers spend less time interpreting misleading metrics?
